Privacy Policy

1. Who we are

Team Tide ("we", "us", "our") is a church team planning service operated at tideapps.uk. This policy explains how we handle personal data when you use our website and application.

2. Data we collect

Depending on how you use Team Tide, we may process:

  • Account data — name, email address, password (stored hashed), and optional profile photo.
  • Organisation data — organisation name, website, logo, membership, teams, join requests, and pre-approved emails.
  • Service content — events, songs, schedules, and related planning information you or your organisation create.
  • Billing data — subscription status and Paddle customer/subscription identifiers. Payment card details are collected and processed by Paddle, not stored by Team Tide.
  • Technical data — IP address, user agent, session tokens, and similar diagnostics needed to run and secure the service.
  • Usage and analytics data — product events and error reports collected via PostHog (EU cloud) to understand feature use and improve reliability.

3. How we use data

We use personal data to:

  • Provide, maintain, and secure Team Tide accounts and organisations
  • Send transactional email (for example password reset and join-request notices)
  • Process subscriptions and manage access based on billing status
  • Analyse product usage and diagnose errors
  • Comply with legal obligations and enforce our Terms of Service

We do not sell personal data. We do not use your content for advertising.

4. Legal bases (UK GDPR)

Where UK GDPR applies, we typically rely on:

  • Contract — to create accounts, deliver the service, and manage subscriptions
  • Legitimate interests — to secure the service, prevent abuse, and improve product reliability (balanced against your rights)
  • Legal obligation — where we must retain or disclose information to meet applicable law
  • Consent — where required for optional cookies or similar technologies (you may withdraw consent at any time)

5. Processors and sharing

We use trusted providers to operate Team Tide. They process data only on our instructions:

  • Paddle — Merchant of Record for payments, tax (including UK VAT), and subscription management
  • PostHog (EU) — product analytics and error tracking
  • Resend — transactional email delivery
  • Object storage (S3-compatible) — profile photos and organisation logos
  • Hosting / database providers — application hosting and PostgreSQL storage

Organisation admins and members can see member names, emails, and organisation content according to their role. Public share links you enable may expose selected event or song content to anyone with the link.

6. Cookies and analytics

Team Tide uses cookies and similar storage for essential functions (for example keeping you signed in and remembering UI preferences such as sidebar state).

We also use PostHog analytics, which may set cookies or use local storage to measure product usage and capture exceptions. Analytics requests are proxied through our domain where configured. You can control cookies through your browser settings; blocking essential cookies may prevent sign-in or core features from working.

7. International transfers

Some providers may process data outside the UK. Where that happens, we use appropriate safeguards required by applicable law (such as standard contractual clauses or an adequacy decision), as offered by those providers.

8. Retention

We keep account and organisation data while your account or organisation remains active. After deletion or prolonged inactivity, we delete or anonymise personal data within a reasonable period, except where we must retain it for legal, billing, security, or dispute-resolution purposes. Backups may persist for a limited time before being overwritten.

9. Your rights

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data, and to object to certain processing or request portability. To exercise these rights, email privacy@tideapps.uk. You may also complain to the UK Information Commissioner's Office (ICO) or your local supervisory authority.

10. Children

Team Tide is intended for church and organisation administrators and adult volunteers. It is not directed at children under 16. If you believe we have collected a child's data inappropriately, contact us and we will take appropriate action.

11. Changes

We may update this policy from time to time. The "Last updated" date at the top will change when we do. Continued use of Team Tide after an update means you accept the revised policy.
